The ‘Draw Winner Selection’ feature came into effect Sept 18, 2025. Previous draws will likely not reflect Draw Winners properly because the draw managers would have chosen the winners outside of dms web. Draw selection may still occur outside of dms web, in which case the list of winners may not exist publicly and historical Draw records may not be accurate.
Draw Winner Visibility
Draw Winner Selection can only occur after the Draw Deadline has passed. If the deadline has passed, it will display in red
The draw winner management section of the draw dashboard will display a green date in the header on the right, with the ‘Draw Winners’ button visible
Alternatively, if the deadline has not passed, there will be no Draw Winners button.
No matter if the deadline has passed or not, you can choose to toggle the ‘Display the draw winners publicly’ button. By default, the toggle is off. This toggle gives you the ability to control visibility for winners by:
- displaying the list right from the beginning of the draw(s)
- waiting until you are done managing winners, or
- not displaying the winners at all
Draw Winner Selection
To select Draw winners, after you press the ‘Draw Winners’ button, the ‘Select Draw Winners’ form appears
You can select any amount of winners you wish, but you cannot select more winners than there are entries.
Because there are only 5 entries in this case, we must use a number less than or equal to 5
Note: you will be prompted to confirm your draw selection. You cannot undo a draw selection.
In the example below, we entered the number 3, pressed ‘Draw’, ‘Confirmed’ the draw, and 3 winners were randomly selected. The date and time of the draw are noted with the winner selection.
Manage Draw Winners
Selected Draw Winner records are not immediately updated. Each winner is initially marked as Pending until whatever criteria is needed to finalize draw winners. Winners will need to be manually updated from the list.
If you hover over the Pending `i` icon , the message will indicate the winner has not been confirmed yet
Confirm winners by pressing the ‘Accept’ button, and decline winners by pressing the ‘Decline’ button.
Attendance History
The clock icon to the right of each person’s name will display the attendance history for each winner. This might be helpful when deciphering if a winner is eligible or not. For example, a winner who doesn’t meet the draw criteria could be ‘Declined’ with the reason ‘not eligible’.
Accepted Winners
Accepted Winners will be updated to ‘Draw Winners’ in the draw. This keeps historical records accurate, enables easy communication using the ‘Contact’ feature, and allows for proper ‘Reports’. Both ‘Contact’ and ‘Report’ buttons are located at the top of the main Draw window.
Declined Winners
If you choose to ‘Decline’ a winner, there is an option to enter a reason for declining. It is not required.
NOTE: Only Draw Managers can see the reason the winner was declined
Declining winners sests their Participant status back to ‘Entered’, so their records remain accurate. You can Deline a win after selecting ‘Accept’ and vice-versa.

Draw More Winners
If you need to draw more winners, press the ‘Draw More Winners’ button and do another Draw. Another list of draw winners will appear, with the new selection of winners visible in its own list.
NOTE: Previously drawn names – whether accepted or not – will not appear in the new draw.

Randomization For Draws
All of the entries in the draw are selected randomly.
- Only Active Entries are entered into the draw. Withdrawn entries are not considered.
- The list of entries is shuffled into a random order, and then a random number is chosen from the size of the list.
- Random numbers keep getting chosen until the requested number of winners is found.
NOTE: Draw Eligibility is not taken into account during random selection. If winners do not meet draw eligibility criteria, they will need to marked as declined. Alternatively, Participants can be ‘Withdrawn’ from draws before winners are selected.
Contacting Draw Winners
Draw Winners can be contacted using the ‘Contact’ button at the top of the Draw. An overlay will display with the Participants and their statuses. Both ‘Entered’ and ‘Draw Winner’ are enabled by default, so simply press the ‘Entered’ status to turn it off, and only the ‘Draw Winners’ will be selected.
